1Employee Selection & Time Entry
Select Employee:
- Choose from dropdown of active employees
- Search functionality for quick lookup
- Shows full name (First, Middle, Last)
- Displays hire date for reference
Time Entry Options:
- Start/End Times: System calculates hours
- Direct Hours: Enter total hours worked
- Support for decimal entries (e.g., 8.5 hours)
- Automatic overtime calculations
2Bid Item Allocation
Critical for accurate project costing - all hours must be assigned to bid items before saving.
Important:
Total bid item hours must equal total work hours. The system enforces this validation.
Assignment Process:
- Select bid item from dropdown
- Enter hours for this specific item
- Click "Add" to assign hours
- Repeat until all hours allocated
Bid Item Examples:
- 201: Site preparation and grading
- 001: Mobilization activities
- 300: Utility installations
- 150: Equipment operations
3Comments & Documentation
Prefilled Comments:
- System-defined standard comments
- Ensures consistency across entries
- Configurable by administrators
- Common examples: "Normal operations", "Overtime"
Custom Comments:
- Free-text field for specific notes
- Additional details about circumstances
- Weather conditions or delays
- Special project requirements
Pro Tip:
Use the "Import" feature to copy previous day's time entries as a starting point for recurring work patterns.

- Equipment name and model
- Only active equipment shown
- Searchable dropdown interface
Hour Requirements:
- Minimum daily hours (typically 8)
- System validation enforces minimums
- Total hours include productive + downtime
- Must distribute all hours between categories
Validation:
Equipment hours cannot be saved if below minimum requirements or if hours aren't properly distributed.
